Preamble
These General Terms of Use (hereinafter "the Terms") govern access to and use of the DOT Associations digital platform (hereinafter "the Platform"), published by DOT Associations (hereinafter "DOT").
The Platform is an association management tool enabling Cameroonian associations and their members to manage their memberships, track their contributions, access their documents and, where applicable, participate in the RPN program — Return to Homeland.
Use of the Platform constitutes full and complete acceptance of these Terms. Any person who does not accept these Terms must refrain from using the Platform.
Article 1 — Definitions
For the purposes of these Terms, the following terms have the meaning assigned to them below:
- DOT or DOT Associations: the organization that publishes and manages the Platform.
- The Platform: the DOT Associations web and mobile application, including all its features.
- Association: any association affiliated with DOT and using the Platform to manage its members.
- Member: any natural person with an account on the Platform, affiliated with an Association.
- Manager: any member designated by an Association to administer its members and processes.
- DOT Administrator: any member of the DOT team with global administration rights on the Platform.
- RPN Program: the Return to Homeland program, allowing eligible Members to benefit from collective contributions from their Association under defined circumstances.
- Contribution: any amount tracked by the Platform in accordance with the Association's rules. Actual payment is made by means defined by each Association.
Article 2 — Access to the Platform
2.1 Eligibility Conditions
To create an account on the Platform, any person must:
- Be at least 18 years of age
- Provide accurate and complete information
- Accept these terms of use
2.2 Account Creation
Only one account is allowed per person. An account can be created in two ways: by invitation from a Manager (via an invitation link sent by email), or directly via the Platform, subject to validation by the Association concerned.
Note : The Platform is strictly reserved for adults (18 years and older). Associations cannot invite minors to the Platform. Every Manager commits to respecting this obligation when sending invitations.
2.3 Credentials and Security
The Member is solely responsible for the confidentiality of their login credentials. They undertake not to share them with third parties and to immediately inform DOT of any unauthorized access to their account at [email protected].
Article 3 — Platform Features
3.1 Membership Management
The Platform allows each Member to view and update their profile, track their membership status (pending, active, suspended, archived), view their contribution history, and designate beneficiaries for the RPN program.
3.2 Financial Tracking and Association Accounting
The Platform does not process payments. No monetary transaction is executed directly on the Platform. Actual payments are made by means defined by each Association (bank transfer, mobile money, cash, etc.). The Platform ensures tracking and traceability of the following operations:
- Contributions: recording of amounts due and payments declared by Managers;
- RPN Contributions: tracking of collective contributions related to the Return to Homeland program;
- Inter-member transactions: recording of internal transfers declared within an Association;
- Operation fees: tracking of fees related to association operations (enrollment, reactivation, RPN closure, etc.);
- Internal accounting: production of an accounting history allowing the Association to ensure financial transparency to its members.
Important : All financial operations recorded on the Platform constitute a declarative history. The responsibility for actual payment of amounts lies with members and associations, in accordance with their own internal rules.
Article 4 — Member Obligations
4.1 Accuracy of Information
The Member commits to providing accurate, complete, and truthful information during registration and to keeping it up to date throughout their membership. They commit in particular to informing their Manager of any relevant change in circumstances (contact details, immigration status, family situation, etc.) within a reasonable time.
4.2 Contribution Tracking
The Member is informed via the Platform of contribution amounts pending payment, as recorded by their Association. The Platform does not make any automatic deductions or process any payments. Any delay or irregularity in actual payment, as noted by the Manager, may result in temporary suspension of access to Platform services.
4.3 Compliant Use
The Member commits to using the Platform exclusively for the intended purposes, namely:
- Managing their association membership
- Consulting their balance and contributions
- Death declarations and contribution requests (if applicable)
- Managing their beneficiaries and dependents
Expressly prohibited are: any fraudulent use, any unauthorized access to data of other members, any attempt to manipulate the system, and any use contrary to the interests of the Association or DOT.
4.4 Truthful Declarations
Any false declaration, particularly when requesting a contribution, is liable to result in immediate suspension or termination of the account, without prejudice to any legal proceedings.
Article 5 — Roles and Responsibilities of Managers
Managers are members designated by an Association to administer its processes. They have extended access to member data and are responsible for actions performed in their role.
DOT cannot be held responsible for actions or omissions of Managers.
Article 6 — Account Suspension and Termination
6.1 At the Member's Initiative
Any Member may request closure of their account at any time by contacting [email protected]. The request will be processed within 30 days. Closure results in deletion of personal data in accordance with the Privacy Policy, except for data subject to legal retention obligations.
6.2 At the Association's or DOT's Initiative
An account may be suspended or terminated in the following cases:
- Failure to comply with association-related obligations
- Providing false or fraudulent information
- Abusive or non-compliant use
- Extended account inactivity
In case of termination for serious breach, DOT or the Association reserves the right to act without notice. In all other cases, at least 15 days' notice will be given.
Article 7 — DOT Associations' Responsibilities
7.1 DOT's Commitments
DOT commits to:
- Ensure the availability of the Platform
- Protect personal data in accordance with applicable laws
- Maintain the security and integrity of the system
- Provide technical support to users
- Inform users of important changes
7.2 Limitation of Liability
DOT cannot be held responsible for:
- Temporary interruptions for maintenance
- Decisions made by member associations
- Disputes between members and associations
- Data loss due to circumstances beyond its control
- Fraudulent use of credentials by a third party
- Content or decisions of associations
Article 8 — Protection of Personal Information
The collection and processing of Members' personal information are governed by DOT Associations' Privacy Policy, available on the Platform. This policy complies with Act 25 (Quebec) and applicable Canadian legislation.

Article 9 — Intellectual Property
The DOT Associations Platform, its interface, features, and content (except Members' personal data) are the exclusive property of DOT Associations. Any reproduction, copying, or unauthorized use is prohibited.
Data entered by Members on the Platform belongs to them. DOT only has a limited use license, necessary for providing services.
Article 10 — Modification of Terms
DOT reserves the right to modify these Terms at any time. In case of substantial modification, Members will be informed by email at least 30 days before the new Terms take effect.
Continued use of the Platform after the new Terms take effect constitutes acceptance thereof. Otherwise, the Member may request closure of their account under the conditions provided in Article 6.
Article 11 — Applicable Law and Dispute Resolution
These Terms are governed by applicable Quebec and Canadian law. In case of dispute regarding interpretation or execution of these Terms, the parties commit to seeking an amicable solution before any legal recourse.
Failing an amicable agreement within 30 days from notification of the dispute, the competent courts of the Province of Quebec will have jurisdiction.
